Beyond Hunger is harnessing the power of communities to end hunger. An award-winning direct service agency (formerly Oak Park River Forest Food Pantry), we serve 13 zip codes on the West Side of Chicago and surrounding suburbs. Last year, we provided critical food assistance and programming to over 65,000 individuals. Our energetic and fulfilling work environment is supported by a cash budget of $2.8M, 19 full-time staff members, 5 part-time staff, over 1,300 active volunteers—and possibly you.
We are seeking someone as passionate as we are about ending hunger. Someone who is obsessive about data integrity and understands how critical it is for measuring impact. A systems-lover who sees technical support as a tool for strengthening impact. The Database Administrator is responsible for the oversight, development, and maintenance of Beyond Hunger's Salesforce database. This role supports organization-wide systems, which may include donor data and program data, as well as tasks associated with streamlining processes. The position works closely with the Director of Operations to ensure the best solutions to support the continued growth of the agency's operations and technical infrastructure while also building capacity to scale. Responsibilities:
Data Management
- Maintain and improve the day-to-day Salesforce configuration, user interface, reports, and provide staff training.
- Provide administration and support of the Salesforce database including, but not limited to, user setup, profiles and roles, customization of objects and fields, page layouts, and data backups with weekly exports.
- Work closely with staff to maintain a clean and well-organized database by ensuring the integrity of data inputs, creating protocols and procedures, keeping staff trained, and cleaning data and duplicates regularly.
- Manage Salesforce case requests ensuring submitted requests are resolved effectively.
- Develop or customize reports and dashboards for various teams and purposes.
- Support Grant Writer with data for proposals and reporting.
- Assist and collaborate with creating the agency's annual Summary Facts.
- Assist program managers with their reporting needs. Stay current with Salesforce releases and corresponding documentation, providing new functionalities and solutions as needed. Train staff on utilizing new features.
- Provide best practices and tips on Salesforce usage.
Process Management and Improvement
- Lead agency-wide assessments and modifications.
- Create and maintain end-user documentation, including internal processes.
- Review program needs and recommend process improvements.
- Work with outside Salesforce consultant on implementing changes as needed.
- Project manage technical changes across platforms.
- Support Director of Operations in exploration of software capabilities and enhancements to streamline processes and potential integration with other platforms (i.e., accounting software).
- Perform analysis to determine agency/staff needs and next steps including research and testing to develop best approach to implement new processes/procedures while mitigating foreseeable challenges.
- Document any new technical policies, processes, and procedures.
- Support, manage, and maintain the use of third-party apps, including researching possible new apps/software and potential integration with other platforms (i.e., Salesforce, GiveSmart, JAMF, etc.)
- Work directly with vendors on app integrations and tech support.
Technical Support
- Maintain detailed inventory of agency technology and equipment.
- Coordinate the procurement of hardware and equipment.
- Assist in the technical onboarding and offboarding of employees.
- Manage and maintain agency technology and equipment updates.
- Develop and lead staff training on new systems and tools.
- Coordinate with IT vendor to resolve support tickets.
- Lead new technical support projects as requested.
Qualifications
- Bachelor's degree in a related discipline.
- 2-3 years' experience in similar role related to Salesforce (or a comparable CRM).
- Detail-oriented with strong time-management skills, sound judgement, demonstrated ability to prioritize tasks, organize information, and work independently.
- Proficiency with Microsoft Office applications, including Excel (the use of pivot tables and basic formulas), PowerPoint, Word, and SharePoint.
- Ability to manage multiple projects concurrently and prioritize tasks effectively.
- Strong understanding of data management and data integrity best practices.
- Proficient with computers and technical systems, hardware/software, troubleshooting, and IT support.
- Strong diagnostic and problem-solving skills.
- Ability to develop and maintain effective working relationships with others and display diplomatic and strong verbal and written communication skills with colleagues, vendors, and other stakeholders.
